One Group Rep’s Notes from the Michigan Spring Assembly

I volunteered at the March District 5 meeting to write a report about the Spring Assembly, so here we go. These are not the minutes of the meeting – to see those, you can go on to the Website for Michigan Al-Anon, which is miafg.org. Go to the Members section to see reports and calendars for all of the statewide events.

There are two statewide assemblies each year that GRs are expected to attend. They are held in St. Louis, Michigan because it is the center point of the Lower Peninsula – an hour and forty minutes’ drive from Ann Arbor if you pay attention to your GPS. (I didn’t.) There is a short orientation for GRs who are new to assemblies, just before the assembly itself starts at 10 am. (FYI, your group can reimburse you for mileage and the $7 cost of lunch so that attending is not a financial hardship.)

I saw five people at the assembly from District 5 – Maggie S, who is treasurer at the state level now, Cheryl B, who was our District Rep and is now the state level Public Outreach Coordinator, Nancy B, Annie J, and myself. In total, there were about 75 voting GRs at this meeting, and there are 391 registered groups in the state. It would be great if more groups were represented at assemblies since this is where decisions are made about our area budget and its direction.

Maggie S presented the treasurer’s report – overall we have $27,000 which breaks down to $11,593 in our prudent reserve, $7,582 in the convention account and a little less than $8,000 in our checking account. Be sure to send group contributions for the area to: P.O. Box 980174, Ypsilanti, MI 48198. Whenever we have excess funds, the area makes a donation to WSO.

The area secretary’s report included where to find all the motions that are made at assemblies: https:goo.gle/luUoRR. We still need someone to volunteer to plan the 47th Michigan AFG Convention (in 2019). April is Alcohol Awareness Month and a good time to distribute “Al-Anon Faces Alcoholism.” The AA International Convention will be in Detroit in 2020. There was discussion of whether we should have an Al-Anon convention in 2020 or whether the AA convention might impact attendance. The Grand Rapids district volunteered to host the 2020 Al-Anon convention, once it was decided there would be one. After much discussion, the DeWitt/Lansing district volunteered to host the 2019 Al-Anon convention.

After establishing the number of voting GRs present, and how many would make a “substantial majority,” (which is defined as 2/3rds of the voting members) we voted on amendments to the policy manual.

Ann M is our Michigan delegate so she attended the WSC (World Service Conference) and reported to us. The WSC is 60 hours long and there were 94 attendees. There’s a new executive director of the WSO (World Service Office) and new use of a project calendar for all WSO projects to prevent bottlenecks. The WSO Website has been updated – the launch date was 2018-01-11. Call volume to the AFG (Al-Anon Family Groups) toll free number is down by 70% and Website searches are up 375%. There’s now a way to update group records online and it gets sent to the area (state) records coordinator who vets it and then submits the change to the WSO database.

There is a new pamphlet for parents and grandparents of alcoholics. The 50th anniversary addition of the daily reader One Day at a Time along with the new book on Intimacy was scheduled to be released at the International Convention in Baltimore.

A well-loved piece from The Forum called “Just for Tonight” will be made into a bookmark by WSO.
The Al-Anon public service announcement was in the top 5% of PSA’s broadcast in 2017. The media kit on the Al-Anon Website has PSAs to share with local TV and radio stations. If we can generate interest from our local broadcasters and send their contact info to WSO, they will send the PSA to the TV/radio station.

400,325 copies of “Al-Anon Faces Alcoholism” were ordered by groups in 2017. This is the highest number ordered since 2006 when this was first published.

The WSO operating budget in 2018 is:

  • $3,000,000 from the sale of Conference Approved Literature
  • $2,000,000 from contributions from individuals, group, districts and areas
  • $260,000 from subscriptions to The Forum
  • $244, 000 transfer from the Reserve Fund
  • $5,504,000 Grand Total

58% of Michigan groups contributed to the WSO in 2017, an average of $104 per group for a total of $22,178. The cost for WSO to support a group in 2017 was $283. To see details of how WSO spends its money, see the back of the appeals letters we get quarterly.

Ann told us the story of how Detroit used to publish its own literature (non CAL) and in 1965, Lois typed a letter to Detroit, strongly suggesting Detroit stop making their own literature. It took 22 years and the WSO telling Detroit that WSO would no longer send Detroit any CAL until Detroit stopped publishing their own literature. It had been a big source of income for the Detroit districts.

Renee F (former Michigan Group Records Coordinator) gave a presentation about redistricting within Michigan. Currently there are 391 active groups in 42 districts. However, because there are only 18 district reps (43%) and 5 district contacts (12%), that means 45%, or 19 districts have no representation at the Area World Service Conferences. This means that links to service, communication and participation are broken. The proposed realignment would reduce the number of districts from 42 to 30, which would increase the coverage of districts with district representatives to 73%.

Action Committee – Public Outreach had a good presentation about how easy it is to get your public library to put up a display about Al-Anon. We divided up into small groups and each group created a tri-fold display that could be used in a library. My group did one entitled “Is Someone’s Drinking Bugging You?” decorated with pictures of bugs, Al-Anon slogans and contact info for a district.

Ann M (our delegate) explained that we are part of the North Central Region of Al-Anon and that we are in need of a trustee to represent our region. She asked if anyone is interested in serving. You need to have at least 10 years of continuous attendance at meetings, be AMIAS certified (to lead Alateen), have been active beyond the group level, be an English speaker, and you cannot be a member of another recovery program (double winner). The application form was due by 2018-07-20 to Ann and Mike (Michigan Coordinator) to be reviewed and submitted by 2018-08-01. If chosen, the commitment will be 28-60 days per year: 4 weeks in Virginia Beach at WSO, 5 days for the WSO conference and 3 days for regional delegates meeting. You don’t have to be a delegate or coordinator to be eligible. It’s a 3 year term.

The following motions were made and voted on:

  • The motion to redistrict our area was passed after 13 years of work.
  • A motion stating that 60% of net income gets transferred to our prudent reserve with a goal of having one year’s operating expenses (approx. $20,000) in the prudent reserve. This passed.
  • A motion to allow people to stand for officers’ positions “in absentia” (even though they cannot physically be at the assembly where elections take place) was passed.
  • A motion to purchase a new personal computer for use by the Area Alateen Process Person was passed. A motion made to require that all AAPP business be done exclusively on this particular personal computer did not pass.

The meeting adjourned at 3:45 pm.

The Group Representative is a vital link of communication with the groups and the Conference; you are the most important person here today. Besides receiving information here today; the Group Representative may receive some information directly from the World Service Office (WSO) via Group E-News & AFG Announcements. Besides Assembly your District meeting is the most important place for the GR to communicate with the World Service Conference. Your District Representative (DR) has vital information from the Area World Service Committee (AWSC). At AWSC, your DR gets information and gives information to your Delegate to convey to the World Service Conference throughout the year. At the March AWSC meeting we talked about the Area Executive Committee Conference Call, Coordinator calls, upcoming North Central Regional Delegates’ meeting, Conference and Policy Committee work that was done at the AWSC meeting.
The District meeting is also a vital part of having a healthy group meeting. Here groups share and work out issues about their meetings. A group that is part of an active District is usually a healthy group.
The World Service Conference (WSC) was held in Virginia Beach, Virginia from April 24 to April 28th. Thank you to everyone who sent cards; they were very helpful and greatly appreciated. It was very informative and interactive. At times enlightening and others intense. The days were long and filled with recovery/business.
New Structure: Interim Executive Director – Mary G. will be stepping down this fall (currently Trustees are reviewing resumes for a new director), Masha W. – Director of Programs, Kerri K. – New Associate Director International, Sergio M. – Alateen, Niketa B. – Director of Finance, New Technology Team – Jeff K. – Social Medea – Scott P. – Website & App Development, Tom C. – Associate Director Literature, Sue P. – New Associate Director Groups, Valarie – New Director Events, Suzanne M. – Associate Director Conference.
Alateen: 60 years “Happy Anniversary” send cards to WSO postal service or electronic. Registered 32 new meetings from Jan. 1st to April 24th. Inactivated 28 meeting in the same time.
Public Outreach: Social Medea platforms are reaching 3.3 million people creating 65,000 contacts to WSO in first three months 2017. 2017 PSA has been viewed by 52 million in first two months. 2017 “Al-Anon Faces Alcoholism”, February printing new record of 184,625. Taking orders for 2018; deadline July 5th. Order forms on home page of members website. New look for 2018 AFA.
Literature: Release of list of quotes from Conference Approved Literature (CAL) to be freely used for fund raisers in the fellowship find on the member’s web site. Intimacy book expected release date – 2018 International Convention in Baltimore. Grandparents pamphlet expected release date – 2018 World Service Conference. Daily Reader still in works, need more sharings on Legacies, no expected release date yet. Forum needs sharings on Legacies; order the E-Forum WSO receives 70% of the Cost back. Forum book underway; reviewing sharings to use. Courage to Change is 65 years old. Just for Today bookmark will not change at this time.
Group Services: Open vs Closed meeting notations – discussion to continue, lack of understanding. 43% of meeting on WSO website are inactive and will be deleted. AISs and Record Coordinators need your help verifying active meeting. Go on website and check out meetings near you.
Thought Force & Task Force Presented: Spirituality in Group money discussions, Spirituality in District money discussions and Spirituality in Area money discussions. Seems repetitive but turned out very different. Suggest combining the three and create literature out of it. Thought Force on Delegate involvement in Conference Agenda.
Seven Motions presented: All Carried: #1 Seating Motion – nonmembers voice/vote, #2 Annual Report, #3 Audited Financial Report, #4 Financial Committee Report/Budget, #5 Amend pages 131-165 of Service Manual, #6 Amend pages 94-99 of Service Manual, #7 Amend pages 85-86 & 123-124 of Service Manual.
Finance: Group Donations hit almost $2,100,00 for the first time in Al-Anon history; just about 300,000 more than was budgeted. Literature sale down over $360,000 over same time. Michigan Donations were down $103 under 2015. 2016 operating expenses decreased $34,000. 2016 Conference approved one time transfer of $243,000 from reserve to
operating fund. It was fully replaced and more added to it. Average Group Donation is $119.52 of those who donate – Al-Anon operating costs per group is $268.00 for all groups.
Other items on the discussed from the Agenda were: T.E.A.M events (Together Empowering Al-Anon Members), Meet the Board, International Al-Anon, WSO visit by the Conference members, 2018 Al-Anon/Alateen’s 7th International Convention in Baltimore (2 years, 10 days away), 2020 A.A. Convention in Detroit, 2023 Al-Anon/Alateen’s 8th International Convention; 13 Cities have submitted bids and are now under review.
I would like to thank all of you for your encouragement and support through all your cards that I received at Conference. You have no idea how grateful I was to read them in the evening after all the business was done each day. Also Thank You for putting your trust and faith in me at the elections last October. I am humbled by your confidence in me.

News from the World Service Office (the World’s largest AIS); we have a new Executive Director, Vali F. from Arizona. Also, the Quarterly Chair of the Board of Trustees letter came out in August with info from various committees; finance, policy … Check it out at www.al-anon.org/members or you can get the information from your District Representative.
As of 10/14/17 (Fall Assembly) there are 8 months, 3 weeks and 1 day till an unforgettable event – The International Al-Anon/Alateen Convention in Baltimore Maryland. Saving your Change? Get with your Sponsors, Sponsies, Trusted Friends or others to share travel and housing costs. Baltimore is a drivable distance. Registration is now open and all the information is available at www.al-anoninternationalconvention.org. Do not try to reserve a hotel before registering with WSO first!
This is the last Assembly for Panel 55; I would like to thank all your Trusted Servants who, for the past three years, have given their time and energy to Al-Anon & Alateen: Group Officers, GRs, AIS Officers, AIS Liaisons, District Officers, DRs, Area Coordinators, Area Officers and Past Delegates. These members are dedicated to giving back what was given to them and have a desire to insure the continued growth of Al-Anon & Alateen. “Participation is the key to Harmony.” Thank you for all you do!!
We are electing new Officers for Michigan AFG here at Fall Assembly. What will your next steps look like in Recovery – “I had been the most fearful person; afraid of everything … afraid of animals, the dark, thunderstorms, and people. As I grew older, people were my greatest fear. Even approaching the program, I still was fearful, I’d go to A.A. meetings but still really was afraid of meeting people. I was very shy; I was the greatest introvert on record.” Page 20

2018-06-23 Michigan AFG Spring Assembly

All GR’s can vote at this state level meeting and are encouraged to attend or send someone else to represent your meeting. The Assembly is at Church of Christ, 1075 W Monroe Rd, St Louis, MI. Registration opens at 9:00AM; new GR orientation begins at 9:40 AM, and the Assembly starts at 10:00 AM. There is a $7 fee that includes continental breakfast and lunch. Attendance is free for Alateens. Park in the front lot.

All GR’s can vote at this state level meeting and are encouraged to attend or send someone else to represent your meeting. The Assembly is at Church of Christ, 1075 W Monroe Rd, St Louis, MI. Area officers are elected at this meeting. Registration opens at 9:00AM; new GR orientation begins at 9:40 AM, and the Assembly starts at 10:00 AM. There is a $7 fee that includes continental breakfast and lunch. Attendance is free for Alateens. Park in the front lot.

District meeting minutes will be approved when there is no objection expressed by attendees via email. The attendees must object within the later of: (1) two weeks after posting the minutes to the afgdistrict5.org website, or (2) two weeks after the most recent non-typographical change to the minutes.

The policy was adopted.

Add Hotline to GR-1 Forms

Recommend to groups that they list our hotline as second contact on GR-1 form, and add it when groups leave it blank on GR-1 forms.

Bryan T moved to adopt this policy and Annie J seconded. The policy was adopted.

We need someone to do the Announcements page as our past person resigned. Diane has volunteered to do it this month and Bryan is going to talk with her about anything further.

Marilyn was unable to attend but sent word that we had 18 calls in June and she has people all lined up to do it the rest of the year.

District Representative (DR) – Cheryl B

At Spring Assembly, there were changes in MIAFG Alateen policy. Cheryl B will get a copy to Robin from Wed. night Alateen. August 19 is our district meeting with elections. We will be voting for DR, Alternate DR, Treasurer, and Secretary. DR’s and Alt. DR’s must be or have been a GR, and only GR’s can vote. Fall Assembly is Oct. 14 with MIAFG elections then. Forum subscriptions were brought up. No new Al-Anon service manuals will be sent out any more. It is available for free at WSO members area or you can buy one.

Website – Bryan T

The next website meeting is Friday July 28, 6-8pm. The things were going well, but progress is slowing due to maintenance demands, i.e., posting new events and meeting minutes.

Open Speaker Series – Annie J

We took in $30 at the last talk, and the rest of the year schedule is set. Cheryl brought up Gratitude Day, and Annie thought we could maybe do it in November with the open talk then. She will check with the church. She brought fliers for the August 12th talk. Next open talk is 2017-08-12 2:00 PM.

District Meeting Donation

Passed the basket and gave $10 to King of Kings Church.

2017-06-17 Area 27 Spring Assembly Report

Attendance: 107 includes 73 voting GR’s in first count

  • This is Alateen’s 60th birthday, and WSO would like us to send birthday cards to the WSO office in its honor. The address is Alateen World Service Office, 1600 Corporate Landing Parkway, Virginia Beach VA 23454
  • Al-Anon faces Alcoholism can be ordered starting 2017-07-05 for 2018.
  • The Literature office is looking for sharings on Traditions and Concepts for use in books.
  • Look for a list of 20 quotes online that are approved to be used anywhere.
  • The “Just for Today” bookmark prayer will not be changed.
  • 2 pieces of CAL have changed:
    • The Service manual will no longer be sent out free to groups. It is available online and can still be bought.
    • The World Service Conference Summary will only be available online. Starting in August.
  • Donations to the WSO from Area 27 groups average $97, and 52% of the groups in Area 27 donate to WSO. Does yours?
  • The Al-Anon International Convention will be in Baltimore MD 2018-07-06 to 2018-07-08. Registrations will be mailed out, and if you register by September, cost will be $135, December – $165, and June – $195. After you send in the registration fee, you will be sent a housing form.
  • 307 attended the Michigan Al-Anon/Alateen Family Groups 45th Annual Convention in Kalamazoo from 2017-05-19 to 2017-05-21. A host has been picked for next year’s convention at Shanty Creek.
  • At WSO, there are many volunteer positions open. Please see the WSO’s website for info.
  • We had a lengthy discussion about updating Alateen guidelines. Some changes were made to the proposal. The District Representative has a copy of the proposal that you may request to view.
  • The Area 27 Fall Assembly is 2017-10-14. MIAFG State elections will be held and all GR’s should go.

Parents Practicing Principles Meeting

We had voted via email to take the Friday night meeting at the Alano Club off the schedule because it has not been going for some time.

Host MIAFG State Convention in 2018

Cheryl B. asked if we wanted to host the MIAFG State convention in 2018. It was decided not to since it is up in Bellaire Mi and not many had been to other conventions.

MIAFG Spring Assembly

The MIAFG Spring Assembly is June 17, 2017 in St. Louis, MI. Cheryl B is organizing carpooling and has at least one car load going and others plan to attend.

Special Holiday Meetings

Someone suggested that we have special Al-Anon meetings at the Alano Club in Ann Arbor during Thanksgiving or Christmas when the club hosts 24 hours of AA meetings.

Annie reminded everyone about the open talk on June 3 and was concerned about flyers getting printed and distributed for other talks. Many there didn’t see the issue as we can print and distribute flyers ourselves. Next open talk is 2017-07-01.

Cheryl B. attended the website meeting and reported that Bryan has things well in hand.
